Three ways to create your signature

  • Draw it. Use a mouse, trackpad, touchscreen or stylus. On a phone or tablet with a finger or pen, this can look surprisingly natural. With a mouse, it usually looks shaky.
  • Type it. Enter your name and pick a handwriting-style font. It’s tidy and consistent, and for many routine forms it’s perfectly acceptable. It doesn’t look like your real signature, though.
  • Upload an image. Use a picture of your actual handwritten signature. This looks the most authentic and is consistent every time you sign.

How to sign a PDF step by step

  1. Open the signing tool and add your PDF. The file is processed in your browser and isn’t uploaded anywhere.
  2. Create your signature. Draw, type or upload an image, as described above.
  3. Place it on the signature line. Drag it into position and resize it so it fits the line naturally. A signature that overflows the box looks careless.
  4. Add the date and any text. Many forms ask for a date, printed name or initials next to the signature. Add these as text boxes and line them up with the fields.
  5. Check every page that needs signing. Contracts often want initials on each page and a full signature at the end. Scroll through the whole document before you finish.
  6. Download the signed PDF. Open it in a normal PDF reader to confirm everything sits where you put it, then send it.

Is an online signature legally valid

This is the question everyone asks, and the honest answer is: often yes for everyday documents, but it depends on where you are and what you’re signing. This isn’t legal advice, just the general picture.

What you’re actually creating

A drawn, typed or pasted signature image is what’s usually called a simple electronic signature. It shows intent to sign, and many legal systems accept that for ordinary agreements. In the United States, for example, federal and state e-signature laws give electronic signatures legal effect for many transactions. The EU’s eIDAS rules recognize several levels of electronic signature, with simple signatures at the basic end.

Where simple signatures may not be enough

  • Wills, powers of attorney and some property documents often have special signing or witnessing rules.
  • Notarized documents usually need a notary’s process, not just your signature.
  • Some government agencies, banks and courts require a handwritten signature or a certificate-based digital signature.
  • Rules differ from country to country, and sometimes between states or regions.

When the stakes are high, ask the recipient what they accept. They’ll usually tell you right away, and that one email can save you a rejected application.

Electronic vs digital signatures

People use these terms interchangeably, but they’re different. A digital signature uses a certificate and cryptography to prove who signed and to show whether the document changed afterwards. A signature image placed on a page doesn’t do that. If someone asks specifically for a digital signature, a drawn or typed signature won’t meet the requirement, and you’ll need a certificate-based signing service.

Tips for a clean, professional result

  • Use a transparent signature image. A photo with a gray paper background looks pasted on. A transparent PNG blends into the page.
  • Keep it to scale. Match the height of the surrounding text, roughly. Oversized signatures look odd and can cover printed text.
  • Use the date format the document expects. If the form shows MM/DD/YYYY, follow it. A mismatched format is a common reason for forms to bounce.
  • Don’t sign a draft. Make sure you have the final version before signing. Signing, then receiving a “small correction,” means doing it all again.
  • Keep a copy. Save the signed PDF somewhere you’ll find it later, along with the email you sent it with.

Keeping your signature safe

A signature image is easy to copy. Anyone who has your transparent PNG can paste it onto another document, which is one reason simple signatures carry less weight than certificate-based ones.

A few sensible habits help. Don’t email your signature file around or store it in shared folders. Prefer tools that work locally in the browser over services that upload and keep your documents.
